Terms & Conditions for Bookings
These Terms and Conditions (“Terms”) govern all bookings made with Betel Hospitality Co., LTD and its owned brand, Lotus Train (“the Company”). By making a booking, you (“the Customer”) acknowledge and agree to be bound by these Terms.
Please read these Terms carefully before making your booking. It is your responsibility to ensure that you have read and understood them.
- Definitions
“Company,” “We,” “Us,” “Our”: Refers to Betel Hospitality Co., LTD, a company registered in Vietnam, and its owned brand, Lotus Train.
“Customer,” “You,” “Your”: Refers to the individual or entity making a booking and any members of their party.
“Services”: Encompasses all offerings provided by the Company, including but not limited to, train ticket reservations (Lotus Train), hotel room accommodations (Betel Homestay Hoi An), tours, cooking classes, and any related activities or provisions.
“Booking”: A reservation for any of the Services offered by the Company.
“Booking Confirmation”: The document, email, or other form of communication from the Company that confirms your reservation, including details of the Services, dates, and price.
- Booking and Confirmation
2.1 All bookings are subject to availability and the Company’s acceptance. A booking is not confirmed until you have received a Booking Confirmation from us.
2.2 The Customer is responsible for providing accurate and complete information at the time of booking, including names, contact details, and any special requests.
2.3 It is the Customer’s responsibility to review the Booking Confirmation immediately upon receipt and to notify us of any errors or discrepancies within 24 hours.
- Payments
3.1 Full payment for all Services must be made at the time of booking, unless an alternative payment schedule is agreed upon in emails by the Company.
3.2 We accept various payment methods, including international credit cards, debit cards, and bank transfers. All payments are processed securely.
3.3 For international payments, the Customer is responsible for any and all bank charges, currency conversion fees, and other fees associated with the transaction. The final amount received by the Company must equal the total booking price.
3.4 Prices for Services are subject to change without notice until the Booking is confirmed and full payment is received.
- Cancellations and Refunds
4.1 The following cancellation and refund policies apply to all Services unless otherwise specified in your Booking Confirmation or a separate agreement.
4.2 Cancellation by the Customer:
* More than 30 days before the Service date: Full refund minus a processing fee of 5%.
* 21-30 days before the Service date: 80% refund
* 11-20 days before the Service date: 70% refund
* 5-10 days before the Service date: 50% refund
* Less than 5 days before the Service date: No refund
4.3 No-Shows: Failure to arrive or check-in for a Service on the scheduled date will be considered a “no-show,” and no refund will be issued.
4.4 Cancellation by the Company: In the rare event that the Company must cancel a Service, we will notify you as soon as possible and offer either a full refund or an alternative Service of equal value. The Company shall not be liable for any other costs or expenses incurred by the Customer as a result of such cancellation.
- Customer Obligations and Liability
5.1 The Customer agrees to act responsibly, respect local customs, and comply with all instructions from Company staff during the provision of Services.
5.2 The Customer is responsible for possessing all necessary travel documents, including valid passports, visas, and health certificates.
5.3 The Company shall not be liable for any loss, damage, or injury to persons or property arising from any acts or omissions by the Customer.
5.4 The Customer shall be liable for any damage caused to Company property during their use of the Services.
- Limitation of Liability
6.1 The Company’s liability for any and all claims, including but not limited to loss or damage, shall be limited to the total amount paid by the Customer for the specific Service in question.
6.2 The Company shall not be liable for any indirect or consequential damages, including loss of profits, revenue, or anticipated savings.
6.3 The Company is not responsible for force majeure events, including but not limited to natural disasters, acts of government, strikes, or other events beyond our reasonable control.
- Governing Law and Dispute Resolution
7.1 These Terms shall be governed by and construed in accordance with the laws of Vietnam.
7.2 Any disputes arising from these Terms or the provision of Services shall be subject to the exclusive jurisdiction of the courts of Hanoi, Vietnam.
